Karbon Help & FAQ

 Working together 

We are always listening to feedback and making improvements to our processes to ensure we provide an unmatched level of client service. To help us accomplish that, our team is using a client and project management system called Karbon to manage how we work together.  Karbon is a secure checklist request and job management tool that will add tremendous value to our relationship. The benefits of this system include:

  • One consolidated place to see all outstanding requests, submit documents to us and communicate together.
  • Improved response times.
  • Reminders for our clients that need a little more support.
  • Centralized communications with your entire service team. 

 

 How does this impact you? 

From time to time, you will receive an email from a DiMercurio Advisors team member containing a checklist of items. This checklist is sent to you via Karbon.  Watch the video below to see what this looks like.  When you receive an email containing a checklist, you will be able to click a link that will take you to a unique Client Portal, listing all of your items that need to be completed.

Your Client Portal will provide you with a personal checklist that requires completing. We will provide detailed instructions and requirements for each item. If the item requires, you will be able to upload documents as well. On completion, please mark the item as complete to instantly notify us.

Collaborating with you in this way will ensure that you know exactly what is needed for us on the job you've asked us for assistance with.  You'll also receive automated reminders if there is any outstanding information we're waiting on.  This will make our communication together smoother and enable our team to service you more efficiently.

 

 

 Need to send us a request? 

We have restructured and refocused our production teams to create structure around areas of specialty or expertise. When you reach out to us, we want to make sure your request makes it to the best person on your team. This structure ensures you are always receiving the best quality of service and that we are able to efficiently process your request. We know sometimes it might feel as if it's getting confusing if you are receiving emails from several different team members at different times, however with Karbon you can always go your Client Portal and see everything that is outstanding.

We want to make sure that you know we're people too and will be communicating with you directly - whether that be inside of Karbon or on the phone.  While Karbon does offer many automations to help make us working together great, there's still people behind everything we do.  Our ultimate goal is to get you answers to your questions at the speed you're seeking.  We strongly feel Karbon will help us accomplish this.

  • What is Karbon?

    Karbon is a platform built for accountants so we can deliver on the services you've hired us for.

  • Can I email a DiMercurio Advisors team member directly?

    If you are already working with a specific team member on a project, please be sure to loop them in on your email.  Please also include one of the departmental email addresses noted above. This helps to ensure you get an answer timely and the best person is handling your question/request.

  • I uploaded documents to Suralink. Will they move over?

    Yes, they will.  Any information submitted into Suralink before it was taken offline will be moved by our team over to Karbon.

  • What is the Karbon Client Portal?

    Karbon’s Client Portal provides clients with a full view and history of their requests, documents and communication. 

  • What if I don't want to create a Karbon login?

    You can continue to use the magic link and complete individual requests if you don’t want to create a login.  However, the login provides greater flexibility for you. The login enables you to access everything sent to you including completed requests, as well as copies of documents and files uploaded—so you can keep track and easily find what’s been sent.  If you also have multiple businesses, the Client Portal will make it much easier to switch between different request lists.

  • Why have I got an email and link to tasks?

    You have received a link to these tasks because the person who sent them to you uses Karbon to manage jobs in their company and they have some tasks they would like you to complete.

  • How do I complete these tasks?

    When you have completed the tasks simply tick the box and it will be marked as completed. Before doing this, you can attach any files you'd like to send through this task.

  • What if I need to change an answer on a task already submitted?

    If this happens, you'll need to reach out to us using one of the departmental email addresses above to request we open the request back up for you.  The reason here is once we receive your information we must assume it's accurate and correct.  If you change something after we access it, it could cause confusion on what version is correct.

  • What is a magic link and how does it work?

    Karbon Client Portal is accessed through a magic link, which is a unique URL generated every time Client Requests are sent and removes the need for a PIN, but more importantly, improves security.

    When a client accesses the tasks sent to them, the link in the email is then associated with that device. This means that Client Requests are only accessible from that device.

  • Does the Magic Link Expire?

    Yes. The magic link is valid for 30 days. If you attempt to access the link after 30 days, you will need to generate a new magic link. The 30 days will recommence.

  • What if I try to access the Client Request from a different device?

    Your will be presented with a screen that has one call to action “Send Access Link”. This will send a newly generated magic link to the original email sent that will allow you to access the Client Requests from the computer. The Client Requests will now be associated with the new device. If you want to access it from another device, you will need to follow the same process.

  • What happens if I open the magic link on a phone and then I switch to a computer?

    Your will be presented with a screen that has one call to action “Send Access Link”. This will send a newly generated magic link to the original email sent that will allow you to access the Client Requests from the computer. The Client Requests will now be associated with the new device. If you want to access it from another device, you will need to follow the same process.
